Already registered for the congress?

If you are registered as a Presenter and have paid the presenter’s fee upon registering in 2020 before the COVID-19-related postponement, your 3-day ticket can automatically be upgraded to include the possibility to participate in the physical congress. This is also the case for new presenters (one per accepted abstract).

If you have already paid for your participation as a co-presenter or regular delegate in 2020 before the COVID-19-related postponement, you can either choose to receive a refund matching the updated registration fee for virtual participation, or you may also wait and see if the congress becomes a hybrid between a virtual and a physical format.

Cancellation Policy

If you registered for the congress in 2020, but now wish to withdraw your registration and not participate in the virtual congress, you will receive a full refund excluding an administration fee of 500 DKK / 82 USD / 67 EUR.

The administration fee covers having an external partner handling everything related to invoices, bank transfers, refunds to credit cards etc.

If you register for the virtual congress and later wish to cancel your registration again, these terms apply:

If cancellation occurs before or on 1 July 2021, you will receive a full refund excluding the administration fee.

If cancellation occurs later than 1 July 2021, there will be no refund. However, you may choose to transfer your registration to a friend/colleague.


Refund claims must include name of the bank, bank address, IBAN, S.w.i.f.t./ BIC code, account number and name of the account owner for money transfers. All refunds will only be processed after the conference. 

Payment for the conference should be made in Danish Kroner (DKK) via bank transfer or with a credit card. The account details for a bank transfer can be found on the invoice.

Please ensure that all documents relating to the payment of fees include your name, address, RIWC2021 and ID number as a reference. 

Accommodation:

If you made a hotel reservation through the registration link before the pandemic your reservation will automatically be cancelled.

Dinner:

If you registered for the social dinners through the regsitration link before the pandemic your reservation will automatically be cancelled.

Payment

Credit card
It is possible to pay with credit card (Visa or Mastercard).
Please note that according to new EU regulation (PSD2) the credit card must be valid for 2 factor authentication. Which means that as part of the payment procedure you will be asked to approve the purchase with an additional code. This code is for example sent to your mobile. The 2 factor procedure depends on your credit card agreement.

Invoice
It is possible to select payment by invoice/bank transfer or EAN/GLN invoice.
An invoice will be issued immediately with the information you have filled in the Invoice section.
The invoice will be attached to your confirmation.
Please be aware that  an invoice fee of DKK 90,00 will be added to each invoice.

EAN - for Danish participants 
Please note that if you have stated an EAN number in the Invoice section, the attached invoice to your confirmation is only for information.
The actual invoice will be sent electronically to the 13-digit EAN number.
