The fee will not cover hotel expenses.

The early registration fee is an amount of EUR 695.
The registration fee after the 15th of February 2019 will increase to DKK 6600, an amount of EUR 885.

The accompanying person fee is an amount of EUR 130.



The accompanying persons fee is not intended for attending the conference.
In other words, it does not allow access for attending presentations in the lecture halls or poster presentations.
The participants badge will be checked at the entrance to the conference halls.

Accommodation


 

Currently is it not possible to reserve rooms online. 
We recommend that you proceed with your registration for the conference.
KongresKompagniet will after your registration be happy to check hotel availabilty for you.
Please send an email to luwq2019@kongreskompagniet.dk and inform us of arrival/depature date and preferred hotel, we will then check if it is possible for us to make a reservation for you.

Hotel cancellation policy 


Hotel reservations can be cancelled free of charge prior to the 1st of April 2019.

In case of a cancellation after the 1st of April, 100% of the total hotel amount will be charged as a cancellation fee. 
The full stay (all nights) at the hotel, will be non-refundable.

Only written cancellations to KongresKompagniet on email Luwq2019@kongreskompagniet.dk will be considered.

Changes to hotel reservations are subject to availability.

 

Payment of hotel accommodation

Please note that hotel accommodation should be paid directly to the hotel upon arrival.  

Sharing a room! 

If you and a colleague, wish to share a room, this is possible.
It is important that only one of you book a double room. 
If not, then you will be invoiced for two double rooms.
Please note in the field "sharing with", that name of the colleague you will be sharing a room with.

EAN invoice (for Danish participants)

If you would like to request that the hotel send your accommodation invoice by EAN, please ensure to select that option on the following page. 
Please provide information on your organization, the EAN number and a payment reference under the contact section.
If this information is not provide during the reservation process, the hotel reserves the right to decline to send the bill via EAN.
Please note that the hotel will impose a fee upon the invoice.

Terms and conditions

Cancellations

Only written cancellations to KongresKompagniet on email Luwq2019@kongreskompagniet.dk will be considered. 

Cancellations of participation for the LuWQ2019 Conference are subject to the following cancellation conditions, in regards to the registration fee:

•     cancellation costs before February 10, 2019 = DKK 740 (equivalent ca EUR 100)
•     cancellation costs between February 10 and April 29, 2019 = DKK 1850 (equivalent ca EUR 250)
•     cancellation after April 29, 2019 = No refund of fee
•     all bank charges are at the expense of the participant 
•     refunds will be processed after the conference
•     no refund will be made seperately for an accompanying persons fee

Changes in booked and confirmed services are subject to availability. 
Changes can only be made in writing through KongresKompagniet on e-mail: Luwq2019@kongreskompagniet.dk.
